Prosona ("we," "us") provides software that professionals ("Pros") use to publish a profile page, capture inquiries, and respond to them — including an AI voice assistant that can answer calls and web conversations on the Pro's behalf.
This policy covers two different groups of people, and it matters which one you are:
Prosona is operated by Prosona LLC, 4 Hutton Centre Dr., Ste 250b, Santa Ana, CA 92707.
Every conversation with a Prosona assistant — by phone or through the widget on a Pro's page — begins with a spoken disclosure stating that you are speaking with an AI assistant and that the call is recorded. This is stated to every caller regardless of where they are calling from.
Continuing the conversation after that disclosure indicates your consent to being recorded. If you do not want to be recorded, hang up or close the widget; you can reach the Pro by whatever other contact method appears on their page.
We keep the transcript of the conversation and a short AI-generated summary of it, so the Pro can see what you asked about and follow up.
The audio itself is never stored. Your voice is processed in real time to carry the conversation and is then gone — neither Prosona nor our voice provider keeps a recording of it. What is kept is the written transcript and summary, which is what the Pro sees in their dashboard.
Collected when you contact a Pro through their Prosona page:

We also process your IP address transiently to limit abuse of our public endpoints. It is held in memory for rate-limiting and is not stored in our database alongside your inquiry.
A note on what you choose to share. The assistant is instructed to collect your name, contact details, and what you're interested in — not to discuss sensitive matters. But it is a conversation, and the transcript captures whatever is said. Please share only what you would be comfortable having the Pro read.
Account and profile information: name, email address, notification email, notification phone number, profile URL, headline, tagline, biography, profile photo, services and pricing, client testimonials, video introductions, and reviews you choose to import from Google.
Billing information: your subscription status and billing history. Card numbers are handled entirely by Stripe and never reach Prosona's systems.
Assistant configuration: your assistant's instructions, chosen voice, and the phone number provisioned for you.
For Visitors, only to deliver the inquiry to the Pro you contacted: storing it in their dashboard, notifying them by email, and letting them see the transcript so they can respond. We do not sell visitor information, we do not use it for advertising, and we do not use it to market to you.
For Pros: to operate the account, publish the profile page, provision and run the assistant and phone number, process payment, and send service and support messages.
We use aggregate, non-identifying information about system performance and reliability to keep the service working.
We use the following service providers ("subprocessors") to run Prosona. Each receives only what it needs to perform its function.

We also disclose information where we are legally required to, and in connection with a merger or sale of the business, in which case this policy continues to apply until you are given notice of any change.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Pros may add their own analytics or advertising tags to their profile page. Where they do, that data goes to the Pro's own accounts with those providers, under those providers' policies, and the Pro is responsible for it. Prosona does not receive or use that data.
Where we support these tags, we restrict what can be sent with them: the name of a service or offer, and the contents of an inquiry, are never passed to an advertising network as event data. This is a deliberate limit. Information about which specific service a person was looking at can reveal sensitive things about them, and it should not leave the Pro's own records.
Deleting a single inquiry: Pros cannot currently delete an individual inquiry from their dashboard. If you want an inquiry you made removed before the periods above, contact us at the address in Section 10 and we will delete it.
Depending on where you live, you may have the right to know what personal information we hold about you, to get a copy of it, to correct it, to delete it, to opt out of sale or sharing (we do neither), and not to be discriminated against for exercising these rights.
California residents have these rights under the CCPA/CPRA. We extend them to everyone who contacts us, regardless of where they live.
To exercise any of these, contact us at the address in Section 10. If your request concerns an inquiry you made to a Pro, we will pass it to that Pro, since they control that information.
We will verify your identity before acting on a request, and we will not charge you for it.
Access to Pro accounts requires authentication. Data is encrypted in transit. Database access is restricted by row-level security policies so that one Pro cannot read another Pro's inquiries. Public endpoints are rate-limited. Administrative credentials are kept server-side and never exposed to the browser.
No system is perfectly secure, and we do not claim otherwise. If we become aware of a breach affecting your personal information, we will notify you and any regulator as required by law.
Prosona is not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child has provided information through a Prosona page, contact us and we will delete it.
